Expedia Cruises is on the hunt for a passionate, results driven, Events Specialist to join our team! This individual will take ownership of the event process right from inception through to on-site execution and be responsible for all related communications to the field: 250 Franchise locations and over 7,500 Vacation Consultants.
Major events include:
2 Conferences for Franchisees (250+ locations)
2 Reward Trips for our Top Producing Franchisees (up to 100 locations)
Several Training Events for our Vacation Consultants
Presence at industry events like CLIA’s Cruise360
Assistance with virtual events/webinars as needed

What You’ll Do
Event Project Management
Create and adhere to a strict project plan with deliverables and deadlines
Responsible for all communications leading up to, during and after the event
Conduct regular meetings with internal team members and external partners / hosts to ensure the event components are on schedule and to discuss any updates / issues as they arise
Manage event registration
Includes subsequent scheduling of individual workshops & meetings as well as corresponding materials / name tags etc
Manage the event budget as well as forecast and reconcile expenses directly with our accounting department
Includes making large deposits to secure space and managing company Credit Card purchases
Liaise with Cruise Lines/Hotels to secure space and determine event needs (i.e. transportation, room rates, F&B, AV etc.)
Create and manage event schedule including but not limited to:
Presentations, Workshops, Dining, Cocktail Parties and Group Activities
Source wearables and other memorabilia for registration kits etc.
Responsible for internal corporate Roles & Responsibilities document to ensure individuals/teams are clear on requirements for each event.
Responsible for “run of show” schedule for theatre presentations and working closely with AV/production team
Includes minute by minute breakdown of each day’s events, complete with speaker notes and set up instructions
Responsible for Corporate Team “Know Before You Go” meeting as well as all other internal communications surrounding the event including regular updates via internal Slack channel
Responsible for post-event debrief which includes an attendee satisfaction survey
The ability to take all feedback as constructive and apply in the future as applicable will go a long way to improving our events long term
Responsible for collecting event photos for social media, PR etc.
Who You Are
You’ll fit this role if you have:
A natural knack for rallying others around common goals and exceeding expectations
Excellent organizational and time-management skills
Excellent written and oral communication skills
The ability to work under pressure, meet deadlines and handle multiple projects simultaneously
Quick thinking and problem-solving skills
The ability to travel when needed (primarily Canada and the United States)
The ability to be productive within a hybrid working arrangement of home-based and onsite office work
Education and Experience
Diploma or degree in Business Administration, Marketing, Sales and/or Events Management equivalent
A minimum 2 years of experience in sales, marketing and/or events
Experience managing multiple projects of all sizes
Must be proficient in Microsoft Office (PowerPoint, Excel & Word)
Starting pay for this role will vary based on multiple factors, including location, available budget, and an individual’s knowledge, skills, and experience. Pay ranges may be modified in the future.
